Requesting Public Records 

Washington law requires state and local agencies to make records available to the public to support their right to know what their government is doing.

The law also lists certain public records that do not have to be disclosed. These exemptions are intended to prevent unreasonable invasions of personal privacy or the use of public records for personal or commercial gain. The law also requires that the public records requested are identifiable. This means that public records disclosure requests must include a specific, reasonable description that would allow an employee to locate the records.

How to Submit a Public Record Request

You may submit a public records request electronically through our Public Records Request Portal or print a public records request form and submit it in one of the following ways:

Five-day response

Within five business days of receiving a request, the district's public records officer will do one or more of the following:

  1. Provide copies of the requested record(s), make the record(s) available for inspection or provide a link to the district's website where the record(s) can be accessed (provided the requestor has not notified the district that they cannot access the records through the internet).
  2. Acknowledge that the district has received the request and provide a reasonable estimate of the time it will require to fully respond.
  3. Seek clarification of the request.
  4. Deny the request (although no request will be denied solely on the basis that the request is overly broad).

We redact any records or portion of records that are exempt from disclosure and specify the exemption that applies to any redactions.

Additional time

Additional time may be required to respond to a request due the need for clarification of the request, to locate and assemble the information requested, to notify third parties or agencies affected by the request, or to determine if the record requested qualifies for an exemption.

Costs for records

Clover Park School District will calculate any costs and notify the requestor of the charge in advance.

Paper copies of records:

If you wish to have copies of the records made instead of inspecting them, please make this clear in the request and make arrangements to pay for copies of the records. Once records are available, they can be inspected during the district's customary office hours, Monday-Friday, 8 a.m. - 4:30 p.m. There is no cost to view records.

There is no charge for record requests that are up to 50 pages. We charge the following fees for copying and mailing more than 50 pages of documents:

  • Letter- and legal-sized documents: $0.15 per page
  • Certified copies: $5
  • Postage: At cost for mailing requested materials

Cost for Electronic Records

The cost of electronic copies of records is $2.50 for information provided by CD or DVD and we may require payment in advance. There is no charge for smaller requests that can be fulfilled by e-mail. The district may also charge cost of mailing, including the cost of the shipping container.
